How to set and check availability for a fixture in Squadd

Before you build a lineup, you need to know who's available. Squadd lets players and parents confirm their own availability directly in the app — and lets you mark it on their behalf when they haven't responded.


Understanding the availability strip

Every Match Day and individual fixture shows an availability strip near the top of the screen. It gives you an instant headcount across four states:

MAYBE Orange Player has responded but is unsure
OUT Red Player has confirmed they cannot attend
AWAITING Grey Player has not responded yet

⚠️ AWAITING does not mean a player is out. It means they haven't responded yet. Always check who is still awaiting before assuming you're short on numbers — chase those responses first.


How availability works

Squadd works best when players and parents confirm availability themselves through their own app. When a fixture is created, Squadd can notify your squad so they can respond directly.

You can also mark availability manually on behalf of any player — useful when a parent messages you directly outside the app, or when you're confirming a player's status on match day.


Setting availability from a Match Day

For events created as a Match Day, availability is managed at the day level in the AVAILABILITY FOR THE DAY section of the Match Day detail screen. This availability automatically applies to every individual fixture within the Match Day — you do not need to set it again per game.

  1. Go to the Fixtures tab.

  2. Tap your Match Day card in the Upcoming Match Days section.

  3. Scroll down to the AVAILABILITY FOR THE DAY section.

  4. For each player, tap the button that matches their status:

    • ✅ — Available (can attend)
    • ❓ — Maybe (uncertain)
    • ✗ — Out (cannot attend)
  5. The availability strip at the top of the screen updates immediately as you mark each player.

💡 Tip — Availability set at the Match Day level automatically applies to every individual game within the day. You only need to set it once. If a player's status changes for a specific game (for example, they can only make the first two matches), you can update their availability on the individual Fixture detail screen for that game.


Checking and setting availability on an individual fixture

Every fixture — whether inside a Match Day or created as a standalone single match — has its own per-player availability section on the Fixture detail screen, labelled SQUAD AVAILABILITY.

  1. Tap the fixture card to open the Fixture detail screen.

  2. The availability strip appears beneath the match info card, showing the summary counts.

  3. Scroll down to the SQUAD AVAILABILITY section to view and edit individual player responses.

📝 Note — The section label differs slightly between screens: the Match Day detail uses "AVAILABILITY FOR THE DAY", while the individual Fixture detail uses "SQUAD AVAILABILITY". The functionality is the same on both screens.


Reading the Cover by Position panel

Once availability is confirmed, the Fixture detail screen shows a COVER BY POSITION panel that uses availability data to show whether you have enough players for each position.

A position showing SHORT in red means fewer available players can cover that position than the minimum required for your format.

💡 Tip — Before panicking about a SHORT position, check your AWAITING count first. If several players still haven't responded, you may have more cover than the panel is showing. Chase those responses before adjusting your lineup plans.

Tips

💡 Tip — Don't wait for everyone to respond before building your lineup. Use the availability you have, note who's still AWAITING, and refine the lineup closer to match day once responses come in.

💡 Tip — If a parent messages you outside the app to say their child is out, mark it in Squadd straight away. Keeping availability up to date means the Cover by Position panel and lineup builder both reflect reality.

💡 Tip — The MAYBE state is useful — it tells you a player might be there. Build your primary lineup around confirmed AVAILABLE players, then have a contingency plan if MAYBE players don't show.

📝 Note — Players and parents confirm availability from their side of the app. You don't need to manually mark everyone — responses from the team come through automatically and update your availability strip in real time.


Troubleshooting

My AWAITING count isn't going down. Players haven't responded yet. Squadd should have sent a notification when the fixture was created, but push notifications depend on players having the app installed and notifications enabled. If responses are slow, remind parents through your usual channels to open the Squadd app and confirm.

A player shows as AVAILABLE but told me they can't make it. Mark them as OUT manually. Find their row in the AVAILABILITY FOR THE DAY section and tap ✗. This updates the availability strip and Cover by Position panel immediately.

I can't find the AVAILABILITY FOR THE DAY section. This section is on the Match Day detail screen — accessed by tapping a Match Day card on the Fixtures screen. Scroll down past the match info card and the MATCHES section. It appears below the list of individual games.

The availability strip shows zero AVAILABLE players. If the fixture was just created, responses take time to come in. Check whether Squadd sent availability notifications to your squad. If players are linked to the team and have the app, they should receive a prompt to confirm.

I marked a player as OUT but they've now confirmed they can make it. Tap their row in the AVAILABILITY FOR THE DAY section and tap ✅ to update their status.


Frequently asked questions

Can players and parents update availability themselves?

Yes. Players and parents confirm their own availability directly in the Squadd app. Their responses update your availability strip in real time. You only need to mark availability manually for players who haven't responded or who contact you outside the app.

What's the difference between AWAITING and OUT?

AWAITING means the player hasn't responded yet. OUT means they've confirmed they can't attend. They look different for a reason — AWAITING players may still confirm as AVAILABLE, so don't count them as absent until you know for certain.

Does availability for a Match Day carry through to individual fixtures within it?

Yes — availability set at the Match Day level automatically applies to every fixture within that day. You set it once on the Match Day detail, and Squadd uses it for every game. If a player's availability changes for a specific game, update it on that individual Fixture detail screen.

Can I mark a whole team as available at once?

There is no confirmed bulk-mark option. Update each player's availability individually from the AVAILABILITY FOR THE DAY section.

Do parents see the availability strip?
