Inviting Members to Your Team
Overview
Squadd works best when parents are in the app alongside coaches. Once parents join, they can respond to availability requests, submit volunteer task claims, view their child's stats, and vote for Player of the Match.
This article covers how to invite parents and additional coaches to your team.
How Invites Work
Squadd uses invite links — a URL you share with the people you want to join. When they tap the link, it opens the app (or the App Store/Play Store if they don't have it yet) and they join your team automatically once they've created an account.
Invite links are:
- Role-specific — parent links bring in parents; coach links bring in coaches
- Unlimited use — one link can be used by every parent in your squad
- Revokable — you can cancel a link at any time to stop new people joining
Sending a Parent Invite (Recommended Method)
This is the fastest way to get all your parents into the app.
- Tap Settings (bottom navigation)
- Tap Invite members
- Tap Create + copy WhatsApp message
Squadd generates a parent invite link and copies a ready-to-send WhatsApp message to your clipboard, formatted like this:

Tap the link, then copy the code into the app — or paste the whole link, the app figures it out.
- Paste the message into your team WhatsApp group
Parents tap the link, install Squadd if they don't have it, create an account, and they're in your team. The link works for as many parents as need it.

Inviting a Coach or Second Admin
- Tap Settings → Invite members
- Under Custom invite, tap the Role selector and choose Coach or Admin
- Tap Generate invite token
- Tap the copy icon next to the token and send it to the person directly
The coach/admin pastes the token into Squadd when prompted.
💡 Roles explained:
- Parent — can view fixtures, submit availability for linked children, vote for POTM, claim volunteer tasks
- Coach — everything a parent can see, plus: create and edit fixtures, manage players, run live matches, record events and stats
- Admin — everything a coach can do, plus: manage team settings, billing, invite admins, remove members
Managing Existing Invite Links
Your active invite tokens are listed on the Invite Members screen. For each token you can see:
- The role it grants (colour-coded: blue = Parent, green = Coach, purple = Admin)
- How many times it has been used
- The link token text (for copying again if needed)
To stop a link from working, tap Revoke next to it. Anyone who has already joined using that link keeps their access — revoking only prevents new people from joining via that link.
Viewing and Managing Current Members
To see everyone who has already joined your team:
- Tap Settings
- Tap Members
The members list shows each person's name, role, and a You badge for your own account. As a Team Admin you can:
- Change a member's role — tap their current role label to open a picker
- Remove a member — tap the trash icon to revoke their access
⚠️ Removing a member removes their Squadd access but does not delete their existing availability responses or player links. A parent who is removed will no longer be able to respond to future availability requests.

What Happens After a Parent Joins
When a parent joins via a parent invite link, they can immediately see:
- The fixture schedule (upcoming matches)
- Team news on the newsfeed
- Volunteer tasks (if the module is enabled)
They cannot yet see availability responses for their child or submit availability — that requires a guardian link connecting them to their child's player record.
Linking parents to their children
Once a parent is in the team, they can link themselves to their child in two ways:
Option A — The parent does it themselves:
They open the Squad list, find their child, and tap the person+ icon to request a link. You'll see a pending request badge and can approve it in one tap.
Option B — You link them directly:
Go to Squad → [Player name] → Edit → Guardians → + Add guardian and select the parent from the member list.

Frequently Asked Questions
Can I use the same link for multiple parents?
Yes — the default parent invite link has unlimited uses. Share it once to your whole squad WhatsApp group.
Can a parent join before I've added their child to the squad?
Yes. They'll join the team and see the schedule, but won't be linked to a player yet. They can add their child via Add My Child from the Squad screen, or you can add the player yourself and link them later.
A parent says the link isn't working — what should I check?
First check that the token hasn't been revoked (Settings → Invite members). If it has, generate a new one. Also confirm the parent is entering the link correctly — they can paste either the full URL or just the token code; Squadd accepts both.
Can parents invite other parents?
No. Only Team Admins and Coaches can generate invite links. Parents cannot share a link that adds others to the team.
How do I know when someone has joined?
Go to Settings → Members and check the list. New members appear immediately after they complete signup and accept the invite.
Can I restrict the invite to specific parents rather than anyone with the link?
Not currently — invite links are open to anyone who has them. If you want to prevent someone from joining, you would need to revoke the link and generate a new one for the remaining parents. For most grassroots teams, an unlimited parent link shared in the squad WhatsApp group is the right approach.
Can I set an expiry date on an invite link?
Not currently. Links stay active until you manually revoke them.
