Inviting Members to Your Team

Overview

Squadd works best when parents are in the app alongside coaches. Once parents join, they can respond to availability requests, submit volunteer task claims, view their child's stats, and vote for Player of the Match.

This article covers how to invite parents and additional coaches to your team.

How Invites Work

Squadd uses invite links: a link you send to the people you want to join. When they tap it, it opens the app (or the App Store or Play Store if they don't have it yet), and once they've created an account they're in your team. There's no code to copy.

There are two kinds of parent link:

  • A link for one child's family. It names the child, and whoever joins with it is connected to that child straight away, with nothing for you to approve. Up to four people from the family can use it, and it lasts 30 days. Sending it again gives the same link while it's still valid.
  • One link for the team chat. Anyone with it can join as a parent. They pick their child from the squad list, and you approve the link.

Every link is role-specific (parent links bring in parents, coach links bring in coaches) and revokable: you can cancel a link at any time to stop new people joining with it.

The quickest way to get every family in is a link per child.

  1. Tap Settings (bottom navigation)
  2. Tap Invite members
  3. Under Invite each family, tap Invite next to a child

WhatsApp opens with a message that names the child and carries their family's link. Pick the parent, or your chat with the family, and send it. The row then says Sent. Children who already have a family linked don't appear in the list.

If you'd rather post one message in your team's WhatsApp group, use One link for the team chat further down: parents sign up, pick their child from the squad, and you approve each one.

You can also invite a child's family from the Squad tab: children with no family linked show an invite button on their row.

Inviting a Coach or Second Admin

  1. Tap Settings → Invite members
  2. Under Coaches and others, choose Coach or Admin as the role
  3. Tap Create invite link
  4. The link appears under Invite links. Tap the share icon to send it, or the copy icon to copy the link

They tap the link, create an account and land in the team as a coach or admin.

💡 Roles explained:

  • Parent: can view fixtures, submit availability for linked children, vote for Parents' Player of the Match, claim volunteer tasks
  • Coach: everything a parent can see, plus: create and edit fixtures, manage players, run live matches, record events and stats
  • Admin: everything a coach can do, plus: manage team settings, billing, invite admins, remove members

Senior and Adult Teams: Players Join Themselves

On a senior or adult team, players don't need a parent to invite or manage them. They join with the squad code or an invite link and request to join, and you approve them, either linking to a player record you've already added or creating a new one. A player who's already listed on your squad can also claim their own record straight from the player card by tapping This is me, without needing an approval step. This includes a coach who also plays: they keep their Coach or Admin role and can additionally claim a player record for themselves.

Partners and family can still join as followers on a senior team, using the parent invite the same as on any other team.

Your links are listed under Invite links on the Invite Members screen. For each one you can see:

  • The role it grants
  • How many times it has been used (and the limit, for a family link)
  • When it was created

The copy icon copies the link and the share icon sends it again. To stop a link from working, tap the bin icon next to it. Anyone who has already joined using that link keeps their access: revoking only stops new people joining with it.

Viewing and Managing Current Members

To see everyone who has already joined your team:

  1. Tap Settings
  2. Tap Members

The members list shows each person's name, role, and a You badge for your own account. As a Team Admin you can:

  • Change a member's role — tap their current role label to open a picker
  • Remove a member — tap the trash icon to revoke their access

⚠️ Removing a member removes their Squadd access but does not delete their existing availability responses or player links. A parent who is removed will no longer be able to respond to future availability requests.

What Happens After a Parent Joins

When a parent joins via a parent invite link, they can immediately see:

  • The fixture schedule (upcoming matches)
  • Team news on the newsfeed
  • Volunteer tasks (if the module is enabled)

A parent who joined with a family link is already connected to their child, so they can answer availability straight away. A parent who joined with the team-chat link needs a guardian link connecting them to their child's player record before they can see or answer availability for them.

Linking parents to their children

Once a parent is in the team, they can link themselves to their child in two ways:

Option A — The parent does it themselves:
They open the Squad list, find their child, and tap the person+ icon to request a link. You'll see a pending request badge and can approve it in one tap.

Option B — You link them directly:
Go to Squad → [Player name] → Edit → Guardians → + Add guardian and select the parent from the member list.

Frequently Asked Questions

Can I use the same link for multiple parents?
Yes. The team-chat link has unlimited uses, so you can post it once in your squad's WhatsApp group. A family link is for one child, and up to four people from that family can use it.

Can a parent join before I've added their child to the squad?
Yes. They'll join the team and see the schedule, but won't be linked to a player yet. They can add their child via Add My Child from the Squad screen, or you can add the player yourself and link them later.

A parent says the link isn't working. What should I check?
First check the link hasn't been revoked (Settings → Invite members). A family link also stops working after 30 days or once four people have used it; tap Invite next to the child again to send a fresh one. If the app doesn't open from the link, they can paste the whole message or link on the sign-up screen, and Squadd picks the invite out of it.

Can parents invite other parents?
No. Only Team Admins and Coaches can generate invite links. Parents cannot share a link that adds others to the team.

How do I know when someone has joined?
Go to Settings → Members and check the list. New members appear immediately after they complete signup and accept the invite.

Can I restrict an invite to one family rather than anyone with the link?
Yes: use Invite each family. Each of those links names one child, works for up to four people and lasts 30 days. The team-chat link is open to anyone who has it, so if it escapes the group, revoke it and create a new one.

Can I set an expiry date on an invite link?
Family links expire after 30 days. Other links stay active until you revoke them.
